Handles day-to-day ! operations and more in-depth appointments.
Manages escalations from Appointment Representatives.
Assists with selection, training, and retention of Appointment Representatives and maintains training records.
Serves as subject matter expert on Customer Relationship Management (CRM) software.
DUTIES AND RESPONSIBILITIES:

Performs all functions required of the Appointment Representative and Appointment Representative II, ensures performance standards are met, and accepts constructive feedback
·
Maintains confidentiality
·
Instills a customer service attitude and builds working relationships with internal and external customers, and demonstrates good judgment in handling situations not covered by written or verbal instructions
·
Communicates appropriately and clearly with departmental management, co-workers and callers
·
Practices and adheres to! âCode of Conductâ
·
Supports the visio! n and strategy of the contact center and positively promotes the services offered and exhibits willingness to master new work routines and methods
·
Maintains and contributes to a professional and ethical work environment, and actively participates in team meetings and engages in the processes of the contact center
·
Reports to Director any suggestions for positive change or recommendations regarding department policies and procedures, and assists with development of the customer service training and keeping accurate training records
·
Ensures Appointment Representatives are trained and performance is at or above service standard, and assists with development of the customer service training and keeping accurate training records
·
Assists with the selection, training and retention of CSRs and distributes workload and priorities to Appointment Representatives
KNOWLEDGE, SKILLS AND ABILITI! ES:
Knowledge:

Demonstrates knowledge and understanding of organizational and departmental policies, procedures and systems
Skills:
·
Communicates clearly and concisely both verbally and in writing
·
Establishes and maintains long-term customer relationships, building trust and respect
Abilities:
·
Able to work effectively with internal and external customers
·
Able to perform basic mathematical calculations, balance and reconcile figures, punctuate properly, spell correctly, and transcribe accurately
·
Able to handle multiple priorities and manage stress appropriately
Experience:
3 - 5 years c
ustomer service/scheduling experience in a healthcare environment required
3 - 5 years general experience with scheduling, insurance plans, physician offices or related environment preferred
