Job Summary: This position provides administrative and secretarial support for the Sales and Marketing Department. In addition to typing, filing and scheduling, this role may perfo! rm duties such as permit and contract record keeping, coordination of meetings and conferences, obtaining supplies, coordinating shipping and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures.

DUTIES & RESPONSIBILITIES:
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.

  • Performs desktop publishing creating and developing visual presentations.
  • Establishes, develops, maintains and updates filing system for the department.
  • Retrieves information from files when needed.
  • Estab! lishes, develops, maintains and updates construction and acqui! sition contracts as needed.
  • Receptionist duties include greeting visitors, answering the phone, gathering and distributing the mail.
  • Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
REQUIREMENTS:
  • Completion of secondary school
  • Completion of a minimum 10-month college or other office administration program
  • Proficiency in the MS Office suite and Internet browsers, strong keyboarding skills (minimum 40 wpm), and excellent communication skills are required
  • Previous clerical experience is preferred.
QUALIFICATIONS:
  • Work requires an extensive knowledge of business and an excellent command of the English language.
  • Must have knowledge of secretarial, office administrative procedures, and knowle! dge of use and operation of standard office equipment, at a level generally acquired through 1+ years related experience.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Compensation is based on experience.
